We learned it was extremely difficult to identify a tool that would solve “all” of our manual tasks and redundant activities. Instead of trying to look at the bigger picture of our business, we broke down our business into various workflows and then picked apart what tasks within the processes would be best suited for AI efficiency improvements.
I would recommend starting your AI journey by documenting a process or workflow map for your business. Once you have good documentation, then you can dig deeper to understand which specific items we can improve upon. The last piece would be to identify the right solution to solve that specific problem within your workflows.

The first thing I’d say is, do not try to address every problem at once. Pick a specific problem that AI can solve and start there. It’s easier to scale up once you’ve got a win under your belt.
I would follow that by making sure the team is on board. It’s important to explain the benefits and how it will make their lives easier. The more people are invested, the smoother the transition will be.
From our experience, I would also recommend keeping an eye on the latest trends and being ready to adapt. AI tools keep evolving. It happened to us with ChatGPT, which began to add extensions that could boost its power to serve our needs. We used it to get insights from a big survey we had done, and to compare those insights with the conclusions from other studies. Plugins helped with that.
Finally, I would add that it’s important not to rely entirely on the output of AI, since it can still make mistakes and give erroneous information. For that previous survey, a manual revision was needed.

If you’re hesitant about AI, start small.
There are a couple of examples within our company where we managed fast adaptation of AI. We started asynchronous meetings using Loom, which uses AI technology to write summaries, titles, chapters, and pulls action items out from the video.
Another is using AI as a “blank page filler” for content writing. When you see bad writing, you know it, so it’s much easier to fix it than it is to address a completely blank page. Our team uses AI in Notion to fill the blank page poorly, and then edit the structure and content to something that is more effective.
Adoption of AI for these above cases was fast and low effort because it’s simple, low-risk, but very helpful. Identify these opportunities in your business and start there.

Do Due Diligence in AI Adoption
When a business wants to adopt technology, it needs to do its due diligence when researching what to use, just like it would with a software program or any other new technology platform. It needs to make sure it has in-house experts and external gurus it can go to who will not only be up on industry trends but also adaptable to quick changes, knowledgeable about compliance and risk issues, and able to navigate systems in a way that they don’t become a runaway train.
Leaders will need to communicate effectively about what they do want and need, as well as what they don’t want and need. An example might be a company that is more in need of machine learning than simply generative AI because it wants to create an engagement tool to learn what its audience needs on an ongoing basis.
When working with a past client, this was a mistake that was made where the knowledge needed to decide which type of AI was in their best interest was not in play. The project went over budget.
